The Division of Public Health is currently seeking an Administrative Support Manager to manage Public Health Accreditation and planning efforts. This is a limited-service position and is based out of the Central Office in downtown Boise, Idaho. Telework is available with a hybrid option.

This is an exciting, cross-cutting position that will lead public health accreditation efforts and strategic planning for the division. The Administrative Support Manager will report to the Deputy Division Administrator for Public Health Administration’s Policy, Performance and Strategy. This position will ensure the division maintains compliance with national public health accreditation standards. Additionally, this position will lead planning efforts and ongoing support for the division’s Strategic Plan, Performance Management and Quality Improvement Plan, and state Health Improvement Plan known as Get Healthy Idaho. Finally, this position will work closely with the division’s Workforce Director to support planning and implementation of workforce development efforts.

Ideal candidates will be excellent at organization and planning; able to organize and facilitate diverse teams; positive and energetic; exceptional at communication; timeline oriented and accountable. The administrative support manager manages diverse support services in a large organizational unit such as a region or district, or at a department's central office level. These services may include, but are not limited to: training, purchasing, financial management, facilities management, safety/security, human resources, information technology, risk management, management analysis, labor exchange, and workforce development programs and related areas.

This is a limited-service position. Length of limited-service appointments are determined by the availability of funds such as grants, alternative funding sources and/or timeframes such as pilot projects, alternative funding sources or program termination.

    EXAMPLE OF DUTIES:

  • Coordinate multi-faceted teams.

  • Ensure accreditation standards are met and maintained while staying abreast of updates or changes.

  • Recommend policies or policy change.

  • Ensure consistency and compliance of operations.

  • Coordinate and participate in strategic planning, monitoring, and evaluation.

  • Conduct special management studies and projects.

  • Participate as a member of the management team.

  • Investigate, troubleshoot, and resolve or recommend solutions to complex issues inquiries, and problems.

  • Represent the organization to department management, staff, the community or other organizations.

    MINIMUM QUALIFICATIONS:

    You must possess all the minimum qualifications below to pass the exam for this position.   • Good knowledge of management practices. Typically gained by an associates degree or completion of at least 4 upper division college courses in business administration, public administration, or other closely related field that included all the essential elements of management (planning, organizing, leading, and controlling); OR one year of work experience in a job situation with responsibility for all the essential elements of management. The Certified Public Manager program offered through Idaho's Division of Human Resources (or equivalent) will substitute for one year of work experience.

  • Experience supervising staff.Typically gained by at least one year of experience supervising staff where you were responsible for interviewing and selecting staff, providing work direction and training, evaluating performance, and generating employer problem solving solutions.

  • Experience analyzing operational, management, or administrative problems to identify alternatives and implement solutions. Typically gained by approximately two years of experience conducting studies or projects or serving on teams to analyze operational, management, or administrative problems and recommending solutions. Types of studies/projects would include issues involving staffing, overtime, budget, contracts, etc.

  • Experience allocating resources in a department or business environment. Typically gained by two years of experience allocating resources (material, financial, or staff) within a department or business.

  • Experience interpreting and applying laws, regulations and policies affecting department or business operations. Typically gained by two years of work experience reviewing business operations for compliance with laws and procedures or interpreting to others how laws and regulations (and policies and procedures) apply to specific situations at a department or business operations level.

  • Experience preparing and making presentations to groups. Typically gained by two years of experience researching, compiling, and organizing information in order to make oral presentations about the information to groups in a business setting. Topics may be informational, technical, or behavioral. You must have experience with at least two different presentations.

    Below is preferred experience. It is not required for the position but applicants with this experience may receive consideration over other applicants.

  • Experience with public health accreditation or similar accreditation programs. Typically gained by one year of demonstrated work history.

  • Experience with Microsoft SharePoint and/or project management software such as Microsoft Planner.Typically gained by one year of demonstrated work history.
