Job Description

NREL’s Communications Office has an opening for a business support professional to assist the Corporate Communications, Science and Technology, Creative Services, and Scientific Information and Publishing Services groups. This position will report directly to the Business Support Operations section manager but will primarily support our dedicated communications team, which is structured in an agency-like setting and includes managers, project managers, writers, editors, designers, and web and multimedia specialists.

The career opportunity involves both routine business support assignments and non-routine or special assignments. We’re looking for a highly organized, detailed, self-motivated individual with strong interpersonal and written communication skills who is adept at managing multiple business support tasks for office leadership and staff. Our ideal candidate is passionate about being in a support role and thrives on providing superior customer service.

Primary responsibilities include:

  • Submit travel requests and assist with submitting travel expense reports for Communications Office staff.

  • Support micro purchases using a departmental purchase card and/or vendor request for payment, including obtaining vendor estimates and invoices, completing expense reports and tracking all procurements.

  • Coordinate with NREL’s Information Technology Services office to approve software purchases and renewals.

  • Provide project coordination support as needed, including conference attendance approval and registrations, awards submissions, proposal calendar/requests tracking, etc.

  • Organize, schedule, and modify meetings and appointments for section managers, team leads, and other staff as needed.

  • Provide coordination support for onsite and offsite events and meetings, including organizing printed materials, shipping requests/labels, agendas, table tents, visitor request forms, catering, hotel, work order requests, invoice payments, etc.

  • Provide virtual meeting set-up and support, including running slides, monitoring chat, posting polls, ordering transcripts, etc.

  • Serve as a notetaker for internal Communications Office meetings as needed.

  • Coordinate new employee onboarding activities.

  • Manage the Communications Office New Employee Orientation sessions, including scheduling facilitators and coordinating training materials on a monthly and/or bi-monthly basis, and maintaining the new employee orientation spreadsheet.

  • Order office supplies and equipment (laptops, accessories, etc.)

  • In coordination with the RSF facility manager, complete annual inspections of the Communications Office’s designated locations including the Library and Print Shop.

  • Collaborate with office director administrative associate to complete other tasks when support is needed, including organizing, scheduling, and modifying meetings and appointments for group managers.

  • Provide support, when needed, with scheduling interviews for Communications Office requisitions.

  • As needed, provide support to the Protocol and Special Events section with coordinating logistics and details for protocol visits and high-level events including badging and foreign national access, selecting and ordering catering, scheduling facilities, and requesting related services needed including but not limited to greeting and receiving visitors, room reservations, work orders, production of meeting materials, logistics, and day-of support.

Basic Qualifications

High School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope or equivalent relevant education/experience. Solid knowledge of the job. Substantial understanding of general aspects of the job with a broad understanding of the detailed aspects of the job. Intermediate skills in applicable software packages and office equipment. Basic project administration skills. Ability to prioritize work. Proficient in written and verbal communications. Very good team and interpersonal skills.

Annual Salary Range (based on full-time 40 hours per week)

Job Profile: Business Support II / Annual Salary Range: $42,700 - $68,300

NREL takes into consideration a candidate’s education, training, and experience, expected quality and quantity of work, required travel (if any), external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. In compliance with the Colorado Equal Pay for Equal Work Act, a potential new employee’s salary history will not be used in compensation decisions.
