A.T. Still University's Arizona School of Dentistry & Oral Health (ATSU-ASDOH) is seeking a full-time non-exempt Executive Assistant to the Dean on the Mesa, Arizona campus. The Executive Assistant to the Dean provides critical support to the Dean of the Dental School, as well as support of the administrative leadership team members, the Dean's Council, and Executive Committee, managing a broad array of administrative, logistical, and operational duties. This position also serves as a primary point of contact for internal and external constituents, including liaison to ATSU President's Office, SVPAA, Advancement, Facilities, and Student Affairs.

Duties & Responsibilities:

  • Administrative Support:-Manage the Dean's calendar, including scheduling meetings, coordinating travel, and organizing events.-Handle correspondence, prepare reports, and maintain confidential documents.-Serve as the first point of contact for the Dean, screening calls, and visitors, and directing inquiries to the appropriate departments or staff.

  • Communication:- Draft, review, and edit communications sent out by the Dean’s office.- Facilitate communication between the Dean’s office and other departments within the school as well as external stakeholders.- Prepare agendas and materials for meetings, take minutes, and ensure follow-up on action items.

  • Liaison Work:- Act as a liaison between the Dean and other executives, faculty, staff, and external entities.

  • Event Planning:- Coordinate and oversee events such as faculty meetings, conferences, receptions, and other special events involving the Dean’s office.- Manage logistics, guest lists, venue arrangements, and event budgets.

  • Project Management:- Support the Dean in strategic initiatives and projects by planning, tracking progress, and coordinating with involved parties.- Ensure that project deadlines and benchmarks are met.

  • Financial Administration:- Process invoices, reimbursements, and other financial documents.- Work with ASDOH Operations to monitor expenditures and provide reports to the Dean on budgetary matters.

Education & Experience:

  • Bachelor's degree required.

  • Five or more years of related experience in an office environment, preferably in higher education.

  • Microsoft Office Suite including Visio.

  • Excellent communication skills- both written and verbal.

  • Ability to maintain confidentiality and exercise discretion at all times.
