Vanderbilt University Benefits Coordinator in Nashville, Tennessee

The HR Representative II will provide support to the Benefits team by performing administrative duties of a complex and confidential nature in support of departmental activities as they pertain to employee benefits, payroll, and communications. Key deliverables will include: collaborating and communicating with individuals at all levels within and external to Vanderbilt University; conducting benefit orientation meetings as part of the new faculty and staff onboarding process; taking a key role in the annual open enrollment process, scheduling on-site meetings, serves as key contact for all items pertaining to the dependent tuition and employee/spouse educational assistance programs, liaison for discount/voluntary benefit platform, etc.

Duties and Responsibilities

Administrative support:

  • Provides administrative support to the benefits team which includes but is not limited to: scheduling and calendar management for team and all vendor and internal partner meetings

  • Plans, organizes, and manages resources to bring about successful completion of unit project goals and objectives.

  • Event planning - determines content/details of the event including identifying and booking facilities, developing communication plan with internal and external partners, staffing events, acting as a day of contact, etc.

  • Performs special projects and other duties as assigned.

    Tuition benefit:

  • Serves as key contact for all matters pertaining to dependent tuition and employee/spouse educational assistance programs.

  • Resolves escalated tuition benefit issues in concert with internal and external partners.

  • Stays up to date on legislation that may affect how the university administers tuition benefits to faculty and staff and suggests edits to policy as needed.

Benefits Support:

  • Key contact for all items pertaining to dependent tuition and employee/spouse educational support programs.

  • Collaborates with internal human resources communications coordinator to deliver benefits information, update website, and ensure presentations are up to date with correct information.

  • Drafts and edits benefits documents, presentations, and graphic displays.

  • Conducts research and provides supporting details for specific situations to benefits team.

  • Supports and guides projects, including research, coordination with campus partners, providing updates and staffing meetings.

  • Monitors webinars and other professional development opportunities for benefits team.

  • Stays up to date on legislation that may affect how the university administers benefits to faculty and staff.

    Customer focus:

  • Assists with the evaluation, assessment and triage of customers' human resource needs.

  • Helps individuals improve their understanding of the benefit plans and how to access websites, materials, and other sources.

  • Interacts and collaborates with individuals at all levels within the organization to provide detailed benefit plan responses, always paying close attention to the tone and content of any communication.

Requirements:

  • Required Education: Bachelor’s Degree or the equivalent, and one year of experience.

Basic Qualifications

  • Managing highly confidential information, records and files.

  • Proficient in the use of the Microsoft Office – including Outlook, Word, PPT, and Excel

  • Excellent time management skills with the ability to multi-task and deal with a high volume of tasks

Preferred Experience:

  • Oracle experience

  • Basic understanding of ERISA, IRC, HIPAA, DOL, etc. is a plus.
